OpenTrack Document Management helps keep your documents available and easy to find for your team and all external stakeholders. Our new feature allows you to upload any PDF document into the OpenTrack platform and attach the document directly to a container or MBL.
Upload Documents
We have three methods of uploading documents:
Automatically from your TMS or via email
Manually in the web dashboard
Uploading automatically
If your documents are all inside your TMS or scattered through your email inbox, OpenTrack can centralize them in one place.
TMS upload: We support upload from CargoWise and PortPro TMSs today, and can support any other platform that supports API connection.
Email upload: Send documents to our automated inbox and OpenTrack will automatically upload them and associate them with your shipments.

Uploading manually
The first step to adding a document into the OpenTrack platform is to navigate to the new "Documents" tab on the left of your screen. If you do not see this tab, reach out to the OpenTrack team, and we will enable Document Management for your account.
Once you are in the Documents section, go to the "Bulk Upload" page to add new documents. You also have the ability to upload Arrival Notices via email—reach out to the OpenTrack team to learn more!
From the "Bulk Upload" page, select the document type you wish to upload and whether you would like the document to be internal- or external-facing.
Internal Documents will only be visible to members of your organization.
External Documents will be visible to members of your organization and any OpenTrack White Label Connections who view the associated container.
Finally, click the "Choose Files" button to add the documents you wish to upload. You can select multiple documents at the same time.
Note: Ensure that the containers you wish to associate with the document have been uploaded prior to document upload.
Once you have added the Document Type, Permissions Category, and your chosen files, select the "Upload" button to add these PDFs to OpenTrack.
Associate Documents with Containers
Upon upload, OpenTrack will automatically scan your document for container numbers. The system will automatically attach the document to all container numbers found in the document.
If you would like to associate the document with additional containers or an MBL (and all containers on the MBL), you can select the small square to the left of all documents you would like to associate and select the "Assign" button.
From here, you can choose a Master Bill or container to associate with the documents.
Find and View Your Documents
Now that you have uploaded your documents and associated them with containers or an MBL, you can view the documents in a few different places.
First, you can view your documents directly in the "Documents" tab. Any container number you click on under the "Reference Numbers" section will bring you to the full container information.
Additionally, any container you select in the platform will show all its associated documents under the container details' "Documents" tab.
