Instead of manually uploading spreadsheets to the OpenTrack dashboard, your team can send tracking files directly from your TMS, ERP, or other internal systems. OpenTrack will process the file and automatically begin tracking the shipments in your account.
This helps eliminate manual uploads and allows shipment tracking to start automatically as part of your operational workflow.
How Email Tracking Works
You can send an email with a shipment spreadsheet attached to a dedicated OpenTrack email address.
Once the email is received:
OpenTrack processes the spreadsheet attachment
Extracts the shipment identifiers and any mapped fields
Automatically begins tracking the shipments in your account
Many teams configure their systems to automatically send shipment reports to OpenTrack so tracking begins without any manual work.

Step 1: Request Email Tracking Setup
Email-based tracking must first be configured by the OpenTrack team.

Step 2: Provide Your Spreadsheet Format
Your shipment spreadsheet can be formatted in one of two ways.
Option 1: Use the OpenTrack Bulk Upload Template
You can use the same spreadsheet structure used for Bulk Upload.
The default fields include:
Master Bill
Container ID
Carrier SCAC

Option 2: Use Your Existing System Export
If you plan to automate tracking from a TMS or ERP, you do not need to change your file format.
The OpenTrack team can map your existing spreadsheet structure to the required tracking fields.
This allows your system to send reports exactly as they are generated today.
π‘ Set up inbox rules in Outlook (click for instructions) or Gmail (click for instructions) to automatically forward spreadsheets to OpenTrack.
Step 3: Start Sending Emails
Once email processor is activated, you will send emails to β imports+tracking@opentrack.co.
Send your shipment spreadsheet as an email attachment to that address.
OpenTrack will automatically process the file and begin tracking any valid shipments.
Step 4: Verify Your Shipments
After the file is processed, shipments will appear in the Tracked Containers view.
OpenTrack will automatically begin discovering containers and monitoring shipment milestones.
